Terms and Conditions

  1. Basic Terms. All members of Akin’s Business Centre must provide the following identification and documents:
  • Official Identification: This could be a government-issued ID such as a driver’s license or passport.
  • Articles of Incorporation: If you are a registered business, you must provide your Articles of Incorporation.

 All collected information will be kept confidential and not disclosed unless required by law. You will also sign an inventory list detailing all furniture and equipment you may use, noting their condition and any keys or access cards issued. At the end of your lease, you must return all items in their original condition; otherwise, you will be responsible for any necessary repairs.

  1. 2. Business Centre Rules: You must follow all posted rules concerning the use and maintenance of the facility. You will be required to sign an inventory listing all furniture and equipment that you are authorized to use, along with a record of their condition and details of the keys or entry cards provided, referred to as the “Asset Hand-over Form.” At the end of the agreement, you must return these assets in the same condition they were initially provided. You will be responsible for any damage or necessary repairs and cover the associated costs.
  2. Service Availability: If we cannot provide the agreed services or accommodation at the start of your term, we are not liable for any damages, but you may choose to delay or cancel the agreement. If we are permanently unable to provide the services, your agreement will end, and you will only owe fees for the period used.
  3. 4. Automatic Renewal: The agreement will automatically renew unless either party gives notice. The notice periods are as follows:
  • Virtual office: 1-month notice
  • Dedicated desk/Co-working: 2-month notice
  • Private office: 3-month notice
  1. 5. Termination: Written notice must be given to terminate the agreement, with the same notice periods mentioned above. You are responsible for informing others about the termination of your business address and contact information. Immediate termination may occur if you become insolvent, breach a non-remediable obligation, or engage in misconduct. Illegal or inappropriate activities may also lead to immediate termination without affecting your financial obligations.
  2. Use of the Business Centre: You agree to use the services for lawful purposes and comply with all applicable laws. If the centre is damaged and rendered unusable, we may either terminate the agreement or repair it, with the possibility of prorated refunds for the downtime.
  3. Meeting Room: Meeting rooms are available on a first-come, first-served basis and must be booked in advance. After use, they must be returned to their original condition.
  4. Business Centre Hours: Our Business Centre operates Monday to Saturday from 7 AM to 5 PM and is closed on weekends and holidays, except in cases of force majeure or technical failures. If you need to work outside of these hours, you must notify us one day in advance. We can discuss special arrangements for access during non-standard hours, which may incur additional charges. If you are the last to leave after hours, you are responsible for turning off lights, locking doors, and setting alarms to secure the premises.
  5. 9. Alterations or Damage: You are responsible for any damage caused by you or those permitted to use the Centre, including employees or contractors. Unauthorized alterations may result in immediate termination of your lease and potential liability for restoration costs.
  6. 10. Insurance: To safeguard against potential liabilities, it is advisable to maintain adequate liability insurance, including the tenant’s legal liability coverage, which protects against claims for property damage caused by your operations or negligence.
  7. 11. Indemnification: You agree to indemnify us against any claims arising from your use of the premises, except for those resulting from our gross negligence.
  8. Inspection and Access: Akin’s Business Centre and its authorized representatives reserve the right to enter your premises during the lease term or any renewal period at reasonable times, including emergencies, for inspections, maintenance, or repairs.
  9. 1 Distress: If you fail to make payments, we may, without notice, enter the premises to seize and sell your goods, equipment, or anything removed. Additionally, if you remain on the premises after your lease ends without our consent, you will be charged liquidated damages, calculated as twice the base service fee plus any additional fees during this period.
  10. Equipment Installations: You cannot install large equipment, such as computers, telecom connections, or appliances, without our approval, which we can refuse at our discretion. If we agree to installations, we may oversee the work and ensure it does not disrupt other tenants. You will bear the cost of installation and removal.
  11. Data Protection: We may collect and process personal data about you and your employees for compliance with laws and to provide services. This data may be shared with other entities as necessary, in accordance with applicable data protection laws.
  12. Assignment: You cannot transfer this agreement or sublet the premises without our consent. Any unauthorized assignment or subletting without our prior written consent constitutes a material breach of this agreement and may result in immediate termination and liability for damages.
  13. Liability and Indemnification: We are not liable for any direct or indirect damages, including injury, property damage, or loss of business caused by our failure to provide services, errors, or delays. You are fully responsible for the origin of any packages sent or received on your behalf, and we are not liable for their content. Additionally, we do not insure your personal property, and you should secure your own insurance.
  14. IT Services and Obligations: We do not guarantee uninterrupted network connectivity or data security, and you should take necessary security measures, like encryption, to protect your data. If there are issues with connectivity within our control, we will address them within a reasonable timeframe. Our internet service supports basic business activity but must be used for lawful purposes only. Unauthorized access to our network or exceeding user limits will incur additional charges.
  15. Signage Policy: You cannot place signs or advertisements without our prior written consent. We may charge a fee for signage and will specify design requirements to maintain the aesthetic consistency of the Business Centre.
  16. Keys and Security Policy All keys and access cards issued to members remain the property of Akin’s Business Centre. members are prohibited from copying, altering, or allowing unauthorized individuals to use these keys or access cards without prior written consent. In the event of loss or theft, members must immediately report the incident and will be responsible for replacement fees.
  17. Deposit & Service Fees: Upon signing this Agreement, you will pay a security deposit equivalent to one month’s office fee, which will be held without interest. This deposit will be returned within 30 days after the Agreement ends, minus any necessary deductions. The deposit cannot be used to pay for your office rent.
  18. Payment: Invoices will be sent electronically, and payments can be made through our website’s online payment portal, via e-transfer, or by cheque. Please note that late payments will incur additional charges, and we reserve the right to suspend services until all outstanding fees are paid. A fee of $25.00 will be charged for any NSF (non-sufficient funds) cheque, in addition to any fees imposed by our financial institution.
  19. Disclaimer: We are not liable for any indirect damages, including lost profits, arising from the Agreement, even if we were informed of the possibility of such damages.
